Club rules/policies

Membership Fees
For a year begining at the start of the acedemic year the cost of membership is
£12.50 students - who must also have Sports Fed insurance from the union costing £15
£27.50 non students (cheques should be made payable to RUSU or Reading University Students Union)
These fees include affiliate membership to the BMC and so civil liability insurance from the BMC.
Joining after the Christmas holidays fees are reduced to
£10.50 students
£17.50 non students
Joining after the Easter holidays fees are reduced to
£7.50 students and non-students

Weekly Climbing
Each session costs £6 which includes transport, wall entry and the use of any club gear. There may be exceptions to this when the wall fees are very high. In this case we ask members to pay thier own way into the wall and just give a small fee towards the transport, however we will tell you well in advance if this is the case.
Anyone participating in weekly climbing must hold sports fed insurance (students only) and must be a member of the club.

Trip Fees
For regular trips where the total cost is £40 then we will take a non-refundable deposit of £20 in advance of the trip which must be paid in order to secure a place on the trip. For trips where the cost varies the deposit amount will also vary but will always be non-refundable.

Trip Special Circumstances
Under certain circumstances a discount on the cost of the trip may be given, or fuel costs for private vehicles may be paid by the club.

Club trips will sometimes breakeven but more generally they are run at a loss, (ie subsidised by the club's Union funding) transport is the largest single expense involved in running the trips. These rules are designed to ensure that people have the option to arrange their own transport if they wish, but in doing so won't make trips economically unviable for the club, both for the individual trip and over the year as a whole.

The rules for this are as follows:

1. If the club asks you to drive your own car for whatever reason then you must pay the full cost of the trip but the club will cover your fuel costs. This rule will still apply even if people drop out of the trip making the extra car unnecessary. Passengers in this car must also pay the full amount.
2. If there is space on the minibus but you choose to drive yourself then you must still pay the full cost of the trip and no fuel money will be given to you. Passengers in this car must also pay the full amount.
3. If for some reason you are unable to use the minibus (generally because you are coming from somewhere other than Reading and cannot be picked up on the way) then you may be able to get a discount on the trip fee. However we ask that you initially pay the full amount and then we will work out if we can give you a discount after the trip. No extra fuel costs will be paid for by the club.
Your refund is calculated by working out how much of each member's trip fee ended up going towards transport on the trip in question - this varies depending on the cost of transport involved (bus hire prices and fuel costs vary), and the costs of food and accomodation etc. Since we only have these figures after the trip has happened we are unable to quote a figure for a discount in advance.
4. If you are unable to attend the whole of the trip then you may be able to get a discount for the part of the trip you have not used, again however the full cost must be paid initially with any discount worked out and given afterwards.
Discount in this case will be calculated by working out what cost you didnt incur the club by leaving early. For example if we didn't have to cover food for you or accomodation for part of the trip. However it may not be possible to refund fully for any transport not used if we were unable to fill your space with someone else while you were not using it.

Please note that all club trips are subsidised by the club and so in some cases it may not be possible to give discounts depending on what facilities are used and how much everything costs.

For camping trips (and possibly other trips too) it is possible to be completely self sufficient from the club - ie members travel themselves, book and pay for the campsite themselves, provide own food, and so the club does not take any money off them, but then they will only be able to use any gear that we arent using for paid members etc

Other policies
1. There must always be at least 2 drivers per bus for weekend trips and day trips that are a substantial distance away. Week night climbing is one of the obvious exceptions to this rule.

2. Non club led groups on trips. This concerns people wanting to do a route on their own, or in a small group, on a club trip which is different to that organised by the committee. Such routes will be considered on an individual basis by the committee, and will be given permission to go ahead depending on considerations such as safety, available equipment and logistical issues. Please inform the committee in advance if there is something you particularly want to do, but do note that we cannot always cater for everyone and that the safety of all members is our highest priority.


These rules are final but may be changed, or waived in exceptional circumstances by committee consensus
